Private AI for Italian SMEs

AI at work becomes an assistant dedicated to each person on the team.

Every member of staff gets their own assistant, tuned to the job they do: it knows the procedures, the documents and the client history, and it acts on the company's Italian systems — email, ERP, CRM — inside the chats the team already works in. Productivity grows for every role, not only for the people who know how to use AI.

30 minutes on the area you want to look into · no slides, no commitment

Dedicated EU server GDPR + AI Act-ready Assistants ready in minutes

The operational load grows. Personal AI moves data outside the perimeter. The company tool goes unused.

01 · Operational capacity

Senior people stay stuck on routine work.

Deadlines slipping, mail piling up, senior staff tied to routine work instead of the strategic kind. The usual answers do not solve it:

  • Keeping the team on overtime. Morale drops, the deadlines keep slipping.
  • Hiring. €30-40k of company cost, 6-12 months before real productivity, and if they leave at 18 months you start again.
02 · Shadow AI

Personal AI moves company data outside your perimeter.

Your sharpest people use ChatGPT from personal accounts. It is fast for the individual and a time bomb for the company:

  • Client data, invoices, contracts leaving the company perimeter without you knowing.
  • GDPR exposure up to 4% of turnover + new AI Act obligations from 2 August 2026.
  • Copy-paste instead of delegation. The real productivity gain never arrives, because nobody is actually delegating.
03 · Adoption

You buy the right tool. Nobody uses it.

The "done properly" answer looks like buying an AI tool for the company and training the team. But it stays a tool:

  • One more piece of software to learn. A course, a few weeks of enthusiasm, then everyone goes back to the old habits.
  • You drive it, on your own screen. One more thing to do, not one less — and it works only while you keep at it.
  • Two or three people actually use it. The effect stops there and never becomes a capability of the team.

It lives in the team's chats, knows your company, and keeps the data inside your perimeter.

Not another chat to learn: an assistant the team uses from day one.

An assistant for every person, not another piece of software

Not a tool you open and steer, but an assistant that lives in an isolated environment — not on your PC — and that you reach with a message, written or spoken, in the chats the team already uses. It works while you do something else and it acts on your systems: it does not only answer, it carries out the task.

It does not start from scratch. It knows your company.

Once procedures, contracts and client history are connected, it works like a colleague who knows the place. New hires start alongside someone who already knows how things are done here — and you depend less on the people who leave.

Compliant by construction, not on paper.

An AI assistant for every person on your team.

Cerase does not replace the team with an AI that works in its place: it gives each person one or more assistants — marketing, administration, sales — tuned to the trade. The result is not fewer people, it is each person doing more.

Your clients' sensitive data never reaches the AI model in the clear.

Before a single word leaves the perimeter, a per-tenant filter masks sensitive Italian data. The admin chooses what to mask, what to block, what to merely flag in the audit trail — per group, per connector, per agent.

Original text
«I am sending the quote to Mario Rossi (tax code RSSMRA80A01H501U, mario.rossi@acme.it) for IBAN IT60X0542811101000000123456 by Friday.»
PII filter · per tenant
Rules set by the admin, applied before every call to the model.
Text that leaves for the model
«I am sending the quote to [FIRST LAST 1] ([TAX CODE 1], [EMAIL 1]) for IBAN [IBAN 1] by Friday.»
Filters: names · Italian tax code · IBAN · phone numbers · email · IP · custom regex
Action: mask · block the call · flag in the audit trail
Format: the placeholders are configurable by the admin — each company decides how masked data is marked
Default: on from day 1, the admin calibrates it for their own company

Connectors and skills — the assistant's tools.

Two families of tools let it work inside your perimeter. Connectors (MCP and CLI) let it talk to your systems — mail, ERP, CRM, drive. Skills tell it how to carry out an agreed procedure: reconciling a transaction, writing a follow-up, preparing a report. The admin decides what is enabled, for which agent and for which user — everything goes through the internal gateway. Connector credentials stay in the Gateway: the assistant invokes authorised actions only, and never sees a token, a password or an API key.

Your ERP Internal APIs On request

The admin decides who reaches what, and under which procedures. Connectors and skills are enabled per agent and per user from the administration console. No command steps outside the boundary of its permission; no procedure starts without having been enabled on the template. Before it can be enabled, every skill passes an automatic security check that looks for risky instructions or behaviour outside the perimeter.

Skill examples

Operating procedures the assistant follows to the letter.

  • Reconcile transactions bank–invoice
  • Triage and first reply on certified email and mail
  • Prepare a draft (email · contract · quote)
  • Update records with confirmation (CRM, ERP)
  • Periodic marketing report from Meta / GA / GSC
  • Set up an automation requested in chat
The assistant's mailbox

Every assistant has its own email address.

For example sofia@rossispa.cerase.email, or on your own domain. It uses the address to write to clients and suppliers: the replies come back to the assistant, not into your personal mailbox.

When the message has to come from you instead, the assistant prepares it and you find it among the drafts in your own mail: you read it and decide whether to send it.

From the console you can see every email the assistant has received and sent.

What happens after the message.

Representative cases on flows typical of Italian SMEs: the chat is the way in, the work happens in the systems.

Administration B2B services · 30 people

A supplier invoice arriving by certified email does not sit in the queue: the assistant reads the attachment, checks the supplier, prepares the entry in the ERP and updates the payment schedule. The manager reviews the summary instead of copying data.

Sales B2B distribution · 24 people

After a call, the salesperson sends a voice note. The assistant updates the CRM, creates the next step, prepares the follow-up and saves the draft quote in the client folder. The team sees the same state without chasing each other by email.

Management Manufacturing SME · 45 employees

Every Monday the assistant collects receipts, unpaid items, open orders and margins from the systems, prepares a PDF report and a detail sheet, then sends them to the CFO. Anomalies stay visible instead of being buried in hand-made files.

The assistant joins the meeting, records it, transcribes it and runs what you decided.

You invite it with the link, like any other participant. What happens after the transcript is up to you.

Joins by link, on Meet and on Teams

It records the audio and transcribes it on infrastructure we choose in the EU: the meeting never passes through a third-party service, and the transcript stays in your environment alongside the rest of your documents.

The transcript starts whatever you configured

Tasks created and assigned in your project management tool, a recap mailed to the participants, a record updated in the CRM. These are the same connectors as the rest of the platform, with the same permissions and the same audit trail.

Two things it does not do

It does not speak in the meeting: it only listens, and participants see it as a silent guest. And it does not attribute sentences to the people who said them — the audio is kept on a single track, so the minutes record what was said and not who said it.

An hour of meeting costs attendance plus transcription.

The meeting-hour equivalences in the plans are worked out from that sum, not from the transcription alone. See the plans.

Three messages, three completed operations.

The conversation is only the interface: the assistant updates the CRM, the ERP, documents and mail with the permissions the company has set.

Representative examples on flows typical of Italian SMEs. Every action goes through authorised connectors, with confirmations and audit records according to the company's rules.

For your staff, a chat. For you, the controls.

An integrated administration console: who can do what, who did what, how much the team spent. Every call the assistants make to your systems goes through the connector Gateway: that is where it is authorised, carried out and recorded. The admin decides which connectors are enabled for each assistant and each user. Approval thresholds, immutable audit trail, AI Act policies. Add new users in one click — with no in-house IT.

Knowledge base

4 notebooks · last indexed 4 min ago

Knowledge is organised into notebooks. Native ones live inside Cerase; the ones you already have on Notion (or other external tools) are connected through APIs. For each notebook you decide who can write, who can read, and which agents have access. Data in external systems (Drive, ERP, certified email, CRM) stays reachable by the agents through the connector Gateway.

On the day you go live, the compliance documentation is already prepared for you.

When a company starts with Cerase, it receives the documents it needs to answer the DPO, the accountant or an inspection straight away.

Standard DPA, ready to sign

A Cerase Data Processing Agreement ready for signature. No three-month legal negotiation.

LLM sub-processor list

Which model, which provider, in which region, for which purpose. Updated whenever it changes.

DPIA template for the DPO

A pre-filled impact assessment for the most common use cases — your DPO adapts it instead of writing it from scratch.

Exportable audit log

Immutable history: conversations, model inputs and outputs, actions. JSON/CSV for the accountant, the lawyer, an inspection. Retained for 24 months.

Notice to employees

A template for telling the team how the AI assistant works. Satisfies Italian Legislative Decree 104/2022 and the AI literacy duty in AI Act Art. 4.

Automatic backup in the EU

Automatic copies in GDPR-compliant EU data centres, encrypted AES-256 at rest. Included in every mode.

Give every member of staff their assistants — in a few steps.

Cerase puts an AI assistant in your company for every person on the team — one that acts on your Italian systems (email, ERP, CRM, contracts), not a chat that answers. Getting started takes 3 things: the first two you do (almost) on your own, the third we do together if needed.

01

Choose the presets

Start from the templates by role: administration, sales, customer service, marketing, management. They are ready to use, built on the most common cases in Italian SMEs — invoicing, payment schedules, client briefs, mail triage.

5-10 minutes
02

Connect systems, knowledge, channels

Your ERP and your PEC (Italian certified email), the internal knowledge you keep in Cerase or already have on Notion/Drive, the channel where the assistants live (Slack, Discord, Telegram). All through connectors, with permissions per role and per agent.

a few hours spread over 1-2 weeks
03

Tailor it and go

The presets cover the average case. For what is specific to your company — the tone of your emails, approval levels, particular workflows — you can be accompanied through a targeted setup, with specific development work if custom connectors are needed.

assisted setup

Choose how you want to use Cerase.

For teams using Cerase every day: predictable budget, monthly credits included, and a lower effective cost than occasional use.

Model Core boost you switch on from the console

For people who use the assistant all day: the largest monthly allowance, and a boost that moves a single assistant onto the most powerful model for as long as you decide.

105.000 credits / month
Roughly equivalent to*
  • 1,300 complex tasks

Included in every mode

Base catalogue of connectors (MCP and CLI) and skills, dedicated EU server, full audit trail.

Automatic backup included

Automatic copies in EU data centres, AES-256 encryption, retained up to 24 months. Details

Fewer credits for the same work

Cerase reuses already computed work from cache, keeps only what is needed in context, and draws on a catalogue of MCP and CLI connectors chosen to be light on consumption.

SLA and Standard support included

99.5% availability, response within 4 hours, continuous monitoring. Details

Thirty minutes in a demo is enough to find the right mode for your company.

See if it's right for you

Not a tool to manage, but a service that answers to you.

A tool has to be configured, maintained and kept compliant. Cerase is a managed service: defined service levels, continuous monitoring and a contact who knows your company. The same SLA applies to every mode.

Our SLA, the same in every mode

99.5% availability

Service availability guaranteed at 99.5% on a monthly basis. Scheduled maintenance is planned for evenings or public holidays and announced at least 48 hours in advance.

Response within 4 hours

If the service is unavailable or the assistants unreachable, the case is taken up within 4 working hours. Within 1 working day for degradation of a significant function, within 2 for non-blocking requests.

Backup and restore

Daily backup and restore within 1 working day. Encrypted copies kept in the EU for up to 24 months. Maximum data loss is limited to the last working day.

Proactive notification

Incidents are reported proactively, before they affect operations. The state of your environment is always available to check, in real time.

Support coverage on working days, Mon–Fri 9–18 CET, in every mode.

Standard support

Included in every mode
  • A support contact who knows your configuration, not an anonymous channel.
  • Continuous operational support and monitoring of the environment.
  • The same service levels (SLA) described above.

Premium support

On quotation
  • Dedicated contact: one stable point of contact, who knows your company and your processes.
  • Priority channel and precedence in handling interventions.
  • Extended coverage beyond working hours, urgent cases included.
  • Periodic optimisation sessions: adoption analysis, refinement of the assistants, identification of new use cases.
  • Continuous training for the team and onboarding for new staff.
  • Priority development of custom connectors and skills.
  • Periodic value reporting: hours freed, volumes handled, adoption by department.

We find out quickly whether Cerase is right for you.

30 minutes on the area you care about most. Nothing to sell you, no commitment: if it is not right for you, we will both see it straight away.

What we get asked most often.

Clear answers to the questions you will hear from your partner, your CFO and your adviser before signing.

My staff are not technical. Will they really be able to use it?
Yes, because there is no new tool to learn. The assistant lives in the chats the team already uses — Slack, Discord, Telegram — and you write to it, or send it a voice note, the way you would to a colleague: "draft the email to Rossi about Friday's deadline". No interface to study, no technical skill required.
What does Cerase give me that an AI subscription for the team does not already?
An AI subscription provides a powerful tool, but one that each person has to open, learn and steer by hand, and that knows nothing about your company and does not talk to your Italian systems. Cerase is a different thing: assistants ready for each role, living in the chats where the team already works — no new app to adopt. They know your procedures and operate on your systems (ERP, certified email, invoicing) within the permissions you set. We configure them around the way you work; they stay yours and exportable, and they are not tied to a single AI supplier. In short: you are not adding one more chat licence, you are bringing AI into everyday work — compliant and under control.
Which business areas does Cerase work for?
Every area of an Italian SME. We provide ready-made presets for the most common functions — administration, sales, marketing, management — and calibrate them on your procedures, your data sources and your terminology. For any other area we build the assistant on the same foundation.
How do data, knowledge and configurations stay in my hands?
Three guarantees, written into the contract. One: the environment is dedicated to your company, on reserved European servers — your data is never mixed with anyone else's. Two: knowledge base, history, audit log, connectors and policies are exportable in standard formats at any moment, without having to ask. Three: Cerase is independent of the AI model working behind the scenes, so as models evolve your setup stays intact. Your work is, and remains, yours.
Is my data used to train the AI?
Identifiers relating to you, your clients and your company never leave our systems in the clear: before reaching the model they are replaced by placeholders, and they are reassembled only on our machines in the EU, which hold the only key for doing so. The model works on text with no identifiers in it, which it cannot trace back to you. The filter is configurable, so we extend the masking to the data that is critical in your sector. Everything that is yours — knowledge, history, configurations — stays in an EU environment, exportable and deletable whenever you want.
Can I decide what the assistant does on its own and what a person has to approve?
You decide, connector by connector, choosing the level: read only, draft only (prepares but does not send), with confirmation, or autonomous. For example: a salesperson can let follow-up emails go out on their own, while changes to contracts stay "with confirmation"; in administration, every action on an invoice goes through an approval. These are your company's settings, not defaults chosen by us, and you change them from the console whenever you like. Every conversation and every action is recorded in a complete audit log.
Does the assistant reply to incoming emails on its own?
No. It checks the mail when you ask it in chat, or at the time you have set, and summarises what has arrived. Sending follows the same rule as the other tools: above the threshold you decided, it asks for your OK before proceeding. Every message that goes out states that it was written by an AI assistant and carries your company's details, as the law requires.
What does sending an email cost?
One credit per message sent by the assistant. Receiving costs nothing, and neither do the platform's service emails such as invitations. The credit is there to put a ceiling in place: an assistant must not be able to send hundreds of messages without you noticing.
Can the assistant see or reveal the connector credentials?
No. The assistant and the secrets live in separate containers: tokens, passwords and API keys are not in the environment the assistant runs in and never enter the prompt. They are held by the connector Gateway — an isolated service — which carries out only the actions the admin has authorised. The assistant can ask to "send this email" or "update this record", but it cannot read or display the credentials that make the action possible.
How do you guarantee a skill contains no dangerous instructions?
Every skill is analysed automatically before it can be enabled: the check flags risky instructions, attempts to get around permissions, or behaviour outside the agreed perimeter. The admin sees the result and decides; no procedure comes into service without having been enabled on the template. Even once active, a skill stays bound to the connector's permissions and to the human approval levels you have set.
How much work is it to integrate Cerase with the ERP and CRM we already use?
Not much. Cerase connects to your systems the way a new user would, with the permissions you assign it: no data migration, no workflow to rewrite. The integrations most common in Italian SMEs — FatturaPA, certified email, the widely used ERP systems, Google Workspace, Microsoft 365, the main CRMs — are ready to use; the more specific ones are configured by one of our integration partners during onboarding.
From signing, when do we see the first result in the company?
Soon. The technical setup — connectors, permissions, first template per role — takes 2-3 days, and the first person on the team sends their first real action by the third day. Tuning to your specific processes continues in parallel over the following 1-2 weeks, while the team is already using the assistant on standard cases. No data migration; any work on dedicated connectors stays targeted and contained.
Who handles the setup?
There are two routes, and you choose the right one. Many configurations you handle on your own, following our guide; when you would rather be accompanied, we point you to the integration partner best suited to your case, on quotation.
What support is included?
Every mode includes Standard support: a support contact who knows your configuration — not an anonymous channel — with continuous operational support, monitoring of the environment and the response times set out in our SLA, the same across all modes. For more structured needs there is Premium support (on quotation): a dedicated contact, a priority channel, periodic optimisation sessions, continuous training for the team and value reporting. See service and guarantees.
What service levels do you guarantee?
The SLA is the same in every mode: service availability of 99.5% on a monthly basis and response within 4 working hours if the service is unavailable (within 1 working day for degradation of a significant function, within 2 for non-blocking requests). On top of that: daily backup with restore within 1 working day, encrypted copies kept in the EU for up to 24 months, proactive notification of incidents, and the state of your environment always available to check in real time. How is plan consumption calculated?
Credits are the unit Cerase measures consumption in. On Credits included plans you have a monthly allowance already covered by the fee; if the monthly pool runs out you can buy a pack. In Pay as you go you have a minimum threshold included and buy packs when you need them. In every mode, credit packs also cover paid Cerase add-ons such as connectors, extra skills, searches and attachments. On plans using models supplied by Cerase, the assistant's answers, attachments and web searches all draw on the same pool. What a task consumes depends on how much text the assistant has to read and produce to finish it, and on the plan's model: Base uses the lighter model and consumes less for the same work. Web searches and attachments — OCR, audio transcription, reading images — consume credits too. A task repeated on the same material consumes far less than the first time, because the context already processed is reused from cache.
What is the Pro plan's boost?
It is a switch in the console: you turn it on for a single assistant and, for as long as you decide, that assistant moves to the most powerful model, then returns to the plan's model on its own. It consumes six times the credits the same work would consume without the boost, and takes them from the plan's allowance: it is not a separate line on the invoice. The other assistants do not change model and do not consume more.
What happens if I run out of credits for the month?
You keep control throughout, with no surprises on the invoice. Credits an assistant does not use flow into the company's shared pool, and you decide — assistant by assistant — who may draw on it once past their own monthly threshold. Anyone not enabled stops at the threshold and tells you, with no unexpected cost. If the pool runs out as well, or you need credits for Cerase add-ons such as connectors and extra skills, you can buy packs — 5,000 (€29), 50,000 (€249), 100,000 (€449), 200,000 (€799), valid for 12 months. An assistant with the boost switched on that draws on the pool beyond its own threshold consumes at a higher rate.
Can I use my own AI provider (BYOK)?
Yes. Cerase can operate with your own model provider: you can connect the key for your cloud account — Mistral (European), Azure OpenAI in the EU, or Anthropic, for instance — or point Cerase at a model running on your own infrastructure, including locally (with Ollama, for example), as long as it exposes an OpenAI-compatible API. Either way the model, the tokens and the data stay inside your perimeter, at your rate, while Cerase provides the platform, the integration and the governance. This is the right configuration when you already have an AI supply arrangement, negotiated rates, or requirements that keep model and data in-house. See the BYOK mode in pricing.
